Affiliate Publisher Outreach: Email Templates That Get Responses
Most publisher outreach emails fail because they're written from the brand's perspective, not the publisher's. This guide provides proven email templates for every stage of the publisher relationship — initial outreach, follow-up, activation, re-engagement — with commentary on why each element works.
Initial Outreach Template
The email that earns the first response. Why most outreach fails: generic affiliate program invitation emails fail because they don't demonstrate that the brand has read the publisher's content; publishers receive dozens of program invitations per week; an email that could have been sent to any publisher signals zero effort and gets deleted immediately; the only outreach emails that earn responses are those that prove the brand has invested time in understanding the publisher's work. The template — Subject: [Publisher Name] — affiliate partnership for [Brand Name] (loved your [specific content title]). Opening: "Hi [Publisher First Name], I came across your [specific article/video title] last week — the section on [specific detail from their content] was exactly the kind of content our customers read before trying [Your Brand]. I work at [Brand Name], and I think your audience would genuinely love our [specific product], especially given your focus on [specific topic area they cover]." The offer: "We run an affiliate program through [Network] with [Commission %] commission and [Cookie Window] day cookies. I'd love to send you some product to try before you decide whether to partner — no obligation. If you like it, we can talk about what a partnership might look like." The close: "Would [Product Sample + Partnership Discussion] be something worth a short email back? Happy to share more details." Why it works: the subject line names the publisher and references specific content — it passes the "was this personalized or generic" test in 3 seconds; the opening proves you read their content by referencing a specific detail; the offer removes friction (product first, no commitment); the close asks for a minimal commitment (email back, not a full partnership decision).
Follow-Up Template
The email that recovers unanswered outreach. The template — Subject: Re: [Original Subject Line] — quick follow-up. Body: "Hi [Publisher First Name], Following up on my note last week about an affiliate partnership for [Brand Name]. I know your inbox is full — wanted to share one more specific reason I think this could be a good fit: [Publisher's recent content title] mentioned [specific ingredient/topic], and our [Product] is exactly what readers who find that article often look for next. We're offering [Commission %] + a product sample to get started. If this timing isn't right, totally understood — but if you're open to a quick email, I'd love to share more. [Name]." Why it works: the subject line continues the thread (keeps context, proves this is a follow-up, not a cold message); the body immediately acknowledges their time constraint; a new specific content reference demonstrates continued attention (not automated copy-paste); the offer is summarized concisely; the close gives explicit permission to pass.
Activation Email Template
The email that converts approved-but-inactive publishers. The template — Subject: Quick note — getting your first [Brand Name] link up. Body: "Hi [Publisher First Name], You joined the [Brand Name] affiliate program [X] days ago — thank you! I noticed you haven't published a link yet and wanted to reach out personally. Sometimes the hardest part is knowing where to start, so I put together a few ideas specifically for your content: (1) Your [recent content title] — we have a product that fits perfectly: [Product + Link]. Here's a pre-written product description you can use or adapt: [2–3 sentence approved product description]. (2) Your [another content title] — [another product recommendation]. I'm also attaching our affiliate asset kit (images, banners, and pre-written copy). If you have any questions about how our links work or what converts best for your audience, I'm happy to get on a short call. Is there anything I can do to make this easier to get started?" Why it works: the tone is helpful, not accusatory; specific content+product mapping removes the "I don't know what to write about" friction; the pre-written product description lowers the writing effort barrier; offering a call humanizes the relationship; the close asks "what can I do?" which generates actionable responses.
Re-engagement Template
The email that reactivates dormant publishers. The template — Subject: Still thinking of you — [Brand Name] update + commission increase. Body: "Hi [Publisher First Name], I noticed your [Brand Name] links have been quiet for a bit — hope everything is well! I wanted to reach out with a couple of updates that might be relevant: (1) Commission increase: We just increased our commission rate from [X%] to [Y%], effective immediately for all existing partners. (2) New products: We launched [Product A] and [Product B] last month — both have been performing really well for publishers in [their content niche]. Would love to send you a sample if you're interested. (3) Best-performing content: Our top publisher recently wrote [Content Type] about [Topic] and it drove [impressive metric]. That format tends to work well for your audience too. Is there a good time for a quick chat about what might work best for your content right now?" Why it works: leading with a commission increase gives a concrete, immediate financial reason to re-engage; new product announcements give fresh content hook; peer publisher performance data creates social proof; the offer of samples removes product cost friction; the call invitation reactivates the personal relationship.
