Program Management

Validation Window

The period of time between an affiliate conversion being recorded and the commission being formally approved and queued for payment — during which the order is reviewed for returns, cancellations, fraud, and policy compliance before the publisher is paid. Validation windows are a standard feature of affiliate program management that allow brands to reverse commissions on returned orders, cancelled purchases, and fraudulent conversions before payment is made. Typical validation window lengths: 30 days: appropriate for low-return-rate categories (subscriptions, digital products, beauty consumables) where most returns occur quickly; 45-60 days: the most common standard across general e-commerce, giving adequate time for return processing and fraud review; 60-90 days: appropriate for high-return-rate categories (apparel, fashion) or high-value purchases (luxury goods, travel bookings) with longer return or cancellation windows. Publisher implications: publishers must wait through the validation window before receiving payment for a conversion; programs with longer validation windows have longer publisher payment cycles, which can be a friction point for publishers managing cash flow; validation windows should be explicitly communicated in program terms and the affiliate network payment schedule. Setting the right validation window: validation window length should match the brand's actual return processing time (how long it takes for a return to be received, processed, and refunded) plus a buffer for fraud review; setting too short a validation window results in commissions being paid before returns are processed, requiring retroactive reversal (which damages publisher relations); setting too long a window frustrates publishers waiting for payment. Relationship to cookie window: the validation window (pre-payment review period) is distinct from the cookie window (how long after a click a conversion can be attributed); both are configurable program parameters with different purposes.
